The Challenge: Speed Wins the Job. Manual Processes Don’t Move Fast Enough.

Wise Hiring Solutions supplies tradespeople and workers to builders and construction sites across Brisbane, Gold Coast and Sunshine Coast. Their positioning is simple: staff on site in under 24 hours. When a builder calls needing three labourers for Monday, they need an answer now, not later that afternoon when someone gets back to a voicemail.

The problem was that the business ran almost entirely on the owner. He was the one taking the sales calls, building the quotes, sending the contracts, updating the records, telling the allocator what had been agreed, and following up when clients went cold. All of it, manually, in sequence, one deal at a time.

When the owner picked up, the business was fast. When he didn’t, nothing happened. No automatic reply, no record created, no follow-up. The lead just went cold.

And the leads that did get through still carried more admin than the business could sustain at scale:

  • A call answered meant a client record created by hand afterwards

  • A job agreed meant a rate email copied and pasted, a contract chased manually, and an allocator notified separately

  • A client who went quiet after being quoted meant someone remembering to follow up, which didn’t always happen

  • Past clients who might want to work with Wise again had no way of being re-engaged, because there was no system for it

All the business intelligence lived in the owner’s head, not in the system. There was no visibility into how fast leads were being answered, which workers got the best client feedback, or where open deals were sitting at any given moment.

And there was one more thing: the website form had stopped passing contact details into the CRM (Hubspot). The owner couldn’t tell a worker from a business, or see what someone had written. The leak was happening before an enquiry even reached a person.

The goal was specific. Reduce the owner’s manual touchpoints per deal to exactly two: the phone call, which stays human because that’s where he closes, and choosing which rate to send. Everything before and after those two moments should run itself.

What We Built

We built an end-to-end system that takes a new enquiry from first contact all the way to a signed client with a ready-to-fill job order, without the owner having to manage the steps in between. We call it the Client Intake and Job-Activation System.

The two things the owner still does: take the call, and send the rate. The rest runs on its own.

Every call and form, captured in seconds

The moment someone calls or fills in the website form, the system reacts. A phone menu tells the difference between a business needing staff and a worker looking for a job, and each gets a different response immediately. A missed call from a builder triggers an instant text: “Sorry we missed you — send your job details here” with a form link. A website enquiry creates a record with the contact’s details already filled in.

Nothing waits for someone to be at a desk. Nothing falls through because the owner was on another call.

Three ways in, one pipeline

A missed call, an answered call, and a website form each create a record at the right point in the pipeline on their own. If the business name isn’t known yet, the card sits under the phone number and renames itself the moment they fill in the form. A card still showing only a phone number is the signal: we never got their details.

Calls write themselves up

Real conversations are transcribed automatically. The caller’s name, trade, and a summary of what they asked for are pulled out and saved onto their record. Nobody types up a call afterwards.

Quoting moves the deal forward on its own

When the owner is ready to quote, he sends the rate email from HubSpot exactly as he always has. The system detects it and moves the deal to the next stage on its own. He doesn’t have to update a pipeline status.

No lead goes cold

If a client goes quiet after being quoted, the system follows up automatically with friendly, on-brand messages on a set cadence and flags who has gone cold. Opportunities are worked, not forgotten, even when the owner is flat out on other jobs.

Contracts that send, sign, and file themselves

When a client agrees, the system emails the agreement for e-signing. The client signs online. From that point, every detail from the agreement — ABN, address, invoicing terms, pay day, travel allowance, authorised representative — is written onto the client’s company record automatically. The signed PDF is attached to the company, the deal, and the contact. The deal moves to job active. If there was no company record yet, one is created from the signed agreement.

No paperwork. No manual filing. No chasing.

A job order the moment a contract is signed

The second a client signs, the system creates the job order for the workforce team in the exact format they already use and sends the allocator a brief so they can start finding workers straight away. We studied 700+ of the team’s real, hand-built job tickets to reproduce their exact wording and layout. The automated ones are indistinguishable from the ones built by hand.

Full pipeline visibility, every Monday

Every Monday morning, the owner and his team get a clean email showing the week’s activity versus the week before, where every open deal sits, who needs chasing, and the week’s wins. They start the week knowing exactly where to focus, without anyone building a report.

Built to be secure and reliable

Every connection between systems is authenticated. A signed contract re-fetches from the e-signature platform before the system acts on it, so a forged notification does nothing. The system runs a daily health check and only flags when something is actually wrong — including checking that the e-signature balance is high enough to process the next contract, so nothing fails silently.

One signed contract creates exactly one job ticket, even if two notifications arrive in the same instant. If a client replies STOP to any message, that’s recorded in both the CRM and the messaging inbox so nothing reaches them again.
